DBS and reference information
DBS certificate information is criminal records data and is handled with extra care. We see the certificate in person and record the certificate number, issue date and whether it is on the Update Service. We do not keep a copy of the certificate unless you ask us to. Under agency regulations we offer families copies of a candidate’s DBS certificate and qualifications before an introduction. We only share these with your knowledge.
References are requested in writing from previous families and verified by phone. Your referees are told why we are contacting them. We do not contact a current employer without your permission.
Who we share it with
- Families, when you are a candidate and we introduce you for an appointment, limited to your profile, references and the checks described above.
- Candidates, when you are a family and we put an appointment to a candidate, limited to the brief and not your contact details until you agree to an interview.
- Service providers who process data on our instructions: hosting (Vercel), database hosting, email delivery, and advertising measurement. Each is bound by contract.
- Authorities where the law requires it, for example the Employment Agency Standards Inspectorate.
We do not sell personal data, and we do not advertise specific vacancies without the family’s written authority.
How long we keep it
- Agency records, including enquiries, registrations, checks and introductions: at least 12 months from the last date we provided a service, as required by agency regulations, and then up to six years for the defence of legal claims.
- Enquiries that do not lead to a search: 12 months.
- Candidate registrations with no activity: 24 months, after which we will ask whether you wish to stay registered.
- DBS certificate details: no longer than needed for the check and the record of it, and never beyond the periods above.
International transfers
Data is stored in the UK or the EU where possible. Where a provider processes data outside the UK, we rely on the UK International Data Transfer Agreement or an adequacy decision.
Cookies and analytics
The site uses privacy-respecting analytics that do not set cookies or track you across sites. If Google advertising measurement is enabled, it may set cookies when you arrive from a Google ad; we only enable this with a consent mechanism in place.
Your rights
You can ask for a copy of your data, ask us to correct or delete it, object to processing based on legitimate interests, and ask us to restrict processing. Write to enquiries@ameliepfeiffer.com. We will respond within one month. You can complain to the Information Commissioner’s Office at ico.org.uk.
